The Polish Archivists Association, acting pursuant to the provisions of the Act of 18 December 2002 on amending the social security system act and certain other acts (Dz. U. No 241, item 2074, chapter 4a), provides services in arranging (archiving), storing and processing the documentation of liquidated or bankrupt economic entities.
Archiving
As far as preparing the records for transfer we offer the following services:
- Assigning documents to appropriate record categories,
- Ordering records by organisational units,
- Classifying records by topic,
- Forming archival units as well as verifying and completing their descriptions,
- Preparing inventories,
- Disposing of noncurrent non-archival records and preparing relevant disposal documentation.
Storing records
- The records submitted by the record granting party are stored in accordance with the valid archival regulations concerning the storage, conservation, access and disposal of noncurrent records;
- The records are stored in archive facilities meeting all existing requirements concerning file security and protected with the most effective security systems;
- The documents entrusted to our custody are made available at any time only to the record granting party, persons authorised by him or, by virtue of the law, to tax offices and state justice institutions;
- The record keeper is obligated to issue on the basis of the acquired documents relevant certificates and certified photocopies to former employees of the record granting party pertaining to their employment relationships, in particular for pension purposes;
- The legal and archival processing of the granting party's records is performed only by persons obligated by separate laws to keep trade, official and state secrets.
When the retention period of the records accepted for storage is over, the records are (with the granting party's consent) disposed of at the record keeper's expense and submitted to be recycled or destroyed, pursuant to the Ordinance of the Minister of Culture of 16 September 2002 on dealing with documentation, classifying and categorising it and on the procedure of transferring archival materials to state archives (Dz. U. No 167, item 1375).
